Good to know When you are ready, use Set Up My Recipient. Sample data is replaced only after you successfully save your real recipient. Archiving is not how you replace Sample Data.
Enter a first name and monthly authorized hours. You can optionally add last name, nickname, and the last 4 digits of the case number.
Good to know If you enter a nickname, the Planner may show that name on daily screens. If Sample Data is on the device, Save asks Replace sample data? Sample data is not replaced until you confirm.
Enter monthly authorized hours when you set up a recipient. You can also change this month’s amount from the Dashboard with Edit Monthly Authorized Hours.
Good to know Remaining Hours and progress use the authorized hours for the month you are viewing.
On Today’s Visit, tap Start Visit to open today’s visit record. Confirm Check-in, then later tap Finish Check-Out and save Check-out. After the visit is completed, tap today’s date on the Calendar to review or edit it.
Good to know Planner visit records do not replace official EVV Check-In / Check-Out.
Start Visit opens the Visit Editor for today. For a new today visit, Check-in is filled with the current time. You can change it before you Save.
Good to know Planner Check-in is your Planner record. Official EVV Check-In is separate — see IHSS EVV in Help.
When a visit is Working or Incomplete, tap Finish Check-Out (or open the date). Check-out may fill with the current time; edit if needed, then Save. With both times saved, the visit becomes Completed.
Good to know After Save, the Planner visit is Completed. Tap today’s date on the Calendar to review or edit it. Official EVV Check-Out is separate and appears on Today’s Visit while the visit is still Working.
Open the Calendar, tap the past date, edit Check-in / Check-out in the Visit Editor, and Save. If today’s visit is already completed, tap today’s date on the Calendar.
Good to know This updates Planner records only — not official IHSS EVV or payroll. Archived recipients can still open existing past visits for correction.
On the Calendar, tap an empty past date, enter Check-in and Check-out, and Save. The same Visit Editor is used for new past entries and corrections.
Good to know While viewing an Archived recipient, you cannot create new visits — only open existing ones.
Tap a future empty date on the Calendar and confirm the planned visit when prompted. A Scheduled visit is planned only — it does not count as worked until you complete Check-in and Check-out.
Good to know To plan many dates at once, use Plan Visits. Archived history does not allow scheduling new visits.
Plan Visits helps spread remaining authorized hours across future dates you select, then creates Scheduled visits you can review before saving.
Good to know You can edit or complete those scheduled visits later. Plan Visits is different from tapping a single future date.
Calendar date cells use symbols to show visit status. Read the symbol with its meaning—color alone is not enough.

A planning hint based on your recent visit pattern. It is not a scheduled visit until you plan or save one.
Today
Marks today’s date on the Calendar.
Completed visits show the hours for that date. If a visit is still in progress, hours may appear while you work. Scheduled visits use the circle mark and do not show hours until the visit is recorded.
A planned visit that stayed in the past without Check-in / Check-out may show as an orange circle. Open the date to record or remove it.
Suggested is a planning hint on the Calendar based on your recent visit pattern. It is not a Scheduled visit, and it is not an official IHSS schedule. You choose whether to plan or save a visit.
Good to know Until you plan or save a visit, Suggested remains only a hint.
Incomplete means the visit needs attention—usually Check-in without Check-out. Open the date, enter Check-out (and fix times if needed), then Save.
Good to know The Calendar may show “Check-out missing” with the Incomplete mark.
While a visit is Working, the Planner measures elapsed time from Check-in to now and updates Today’s Visit, Monthly Remaining, Current Pay Period Remaining, Recipient Progress, and today’s Calendar hours. Today’s Visit shows Finish Check-Out while Working. After the Planner visit is Completed, tap today’s date on the Calendar to review or edit it.
Good to know Recommended / Day does not keep updating continuously with the live timer.
If another recipient already has a visit at overlapping times, the Planner shows a Time Conflict warning so you can review the times. Cancel returns to editing; Save Anyway keeps your entry if the overlap is intentional.
Good to know This is a Planner warning only — not an official IHSS determination.
Monthly Remaining Hours shows how many authorized hours are still left for the month you are viewing. It accounts for worked time and, while Today’s Visit is Working, live elapsed time.
Good to know Scheduled future visits are planned only — they are not the same as worked hours.
The Planner splits each month into two pay periods: the 1st–15th and the 16th–end of the month. Current Pay Period is the half you are in right now for that month.
Good to know This split helps you track progress within the half-month. It is Planner planning information, not an official payroll statement.
Current Pay Period Remaining shows how many hours are left in the current half-month allocation. Monthly Remaining covers the full month; Pay Period Remaining covers only the current half.
Good to know While a visit is Working, live elapsed time is included in these remaining displays where they apply.
They measure different ranges. Monthly Remaining is for the whole month. Current Pay Period Remaining is only for the current half (1–15 or 16–end). The numbers are not supposed to match.
Good to know For example, you might still have many hours left for the month while the current half-month allocation is nearly used.
Recipient Progress shows how much of each Active recipient’s monthly authorized hours has already been Used. The center percentage and blue circle both show Used %. The hours below show Worked/Used hours.
Good to know Example: 72% means about 72% of that recipient’s monthly authorized hours have been used. Monthly Remaining shows what is left; Recipient Progress shows what has been used. Archived recipients are not listed. Tiles stay in a consistent order; tapping a tile switches to that recipient. If the current recipient is outside the visible part of the strip, the Planner scrolls just enough to show that tile.
While Today’s Visit is Working, the Planner includes elapsed time from Check-in to now. Recipient Progress for the current Active recipient can increase as that worked time accumulates.
Good to know Not every Dashboard number refreshes continuously. Recommended / Day does not keep updating with the live timer.
Previous Pay Period summarizes the earlier half-month for the month you are viewing. It shows Worked, Remaining, Days Worked, and Average / Day.
Good to know Expand Previous Pay Period on the Dashboard to see these details.
Recommended / Day is a planning estimate for about how much to work on remaining available days in the current pay period, based on hours still available under current Planner rules.
Good to know It is a guide, not a guarantee. It does not continuously recalculate on every live timer tick.
Tap Statistics in the top bar to review hours and visit activity for the recipient you are currently viewing.
Good to know For an Archived recipient, open Settings → Recipients → Archived → View in Planner first. Statistics then shows that Archived History context without making the recipient Active.
No. Planner progress and remaining hours are organizational planning information. Official EVV, timesheet, and payroll records remain separate.

Open Settings → Recipients and add a recipient if your current plan still has an available Active-recipient slot.
Good to know If you see Recipient limit reached, you already have as many Active recipients as your current plan allows. On a plan with one Active recipient, use Replace Active Recipient instead of Add.
Use the top recipient selector to choose another Active recipient. On plans that include Quick Swipe, you can also swipe between Active recipients.
Good to know Archived recipients do not appear in the normal daily selector. Use View in Planner under Archived to browse history.
Swipe left or right on the recipient area at the top of the Dashboard to move between your Active recipients.

Recipients appear in the same order as your recipient list in Settings. The selector, Recipient Progress, and Quick Swipe all use that same Active-recipient sequence, so switching does not rearrange the list.
Good to know Switching recipients moves the highlight on Recipient Progress. The tiles stay in the same order.
An Active recipient is included in normal daily Planner work. Active recipients can appear in the selector, Recipient Progress, Quick Swipe, and normal new or future visit workflows. They count toward your plan’s Active-recipient limit.
Archive is for someone you no longer care for regularly but whose records you want to keep. Visit history is preserved. Archived recipients are hidden from the daily selector, Recipient Progress, and Quick Swipe until you Reactivate them.
Good to know You can still open Archived History with View in Planner.
Open Settings → Recipients, find the person under Active, tap Archive, and confirm. Archive does not delete visit history.
Good to know You need at least one Active recipient. You cannot Archive your only Active recipient. To move to a new person, use Replace Active Recipient in Settings → Recipients.
Open Settings → Recipients → Archived → View in Planner. That opens Archived History for browsing Calendar, Statistics, and existing past visits.
Good to know You can inspect or correct existing past visits. You cannot create new or future visits until you Reactivate.

Archive keeps the recipient and visit history and can be undone with Reactivate. Delete permanently removes the recipient and their visit data from this Planner.
Good to know Prefer Archive when you only want to hide someone from daily work. Delete cannot be undone unless you restore from a backup you saved earlier.
No. Your current plan counts Active recipients only. Archived recipients stay stored with their history but do not use an Active slot.
Open Settings → Recipients and tap Replace Active Recipient. Enter the new person, confirm, and the current Active recipient is Archived with history kept while the new recipient becomes Active.
Good to know You still cannot Archive your only Active recipient by itself. Replacement is not Delete.
If your Active-recipient limit is already full, normal Reactivate is blocked. On a one-Active plan, Reactivate can offer Replace Current Active after confirmation: the current Active recipient is Archived and the Archived recipient becomes Active. Both histories are kept.
Good to know On plans with more than one Active slot, Archive another Active recipient first if you need a free slot. Other at-limit cases follow the current plan-limit rule. Do not Delete just to free a slot unless you truly want to remove that person’s history.

They are separate. Start Visit creates or updates a Planner visit record. EVV Check-In is the official IHSS EVV action. Using one does not automatically complete the other.
Good to know Finish Check-Out on Today’s Visit is a Planner action. After the Planner visit is Completed, tap today’s date on the Calendar to review or edit it. Official Check-Out is EVV Check-Out, which appears while the visit is still Working.
After you finish in official IHSS EVV, return to the Planner yourself and Close the Companion when you are done. The Planner does not detect whether official EVV accepted Check-In or Check-Out, and it does not sync with official EVV.
Choose the location that accurately reflects where the care was provided. Choose Home when care occurs at the recipient’s home. Choose Community when care legitimately occurs in the community, according to official EVV options.
Good to know Home or Community in the Visit Editor is for Planner records and Statistics. It is separate from the location you choose in official IHSS EVV.
The Planner cannot correct official EVV errors. Return to official IHSS EVV and follow the instructions shown there. If needed, follow official IHSS or county support instructions.
